Concept
A user transaction record answers:
text
Who processed what transaction, at what time, with which transaction code, and whether authorization or accounting elements were involved?Reconciliation means operations review and confirmation of already-created transaction records.
text
User transaction record = trace of the transaction.
Reconciliation = operational confirmation of that trace.Reconciliation Is Not Reversal
| Concept | Purpose | Accounting Impact |
|---|---|---|
| Reconciliation | Review and confirm an existing transaction record. | Usually does not directly change customer accounting. |
| Reversal / correction | Correct an incorrect transaction. | Changes accounting results. |
| Cancellation | Withdraw a transaction or result based on system rules. | Usually changes accounting or transaction status. |
Simple memory:
text
Reversal changes accounting. Reconciliation confirms records. Why Reconciliation Exists
The system records transactions, but operations still need to confirm whether transaction code, account, amount, authorization, suspense item, reversal, and abnormal status are acceptable for closeout.
Reconciliation changes records from not reviewed to reviewed and records reviewer, time, and status.
Typical Records Requiring Review
| Scenario | Why Review Matters |
|---|---|
| Accounting transactions | Transfers, fees, reversals, closures, and adjustments affect balances. |
| Cash or voucher transactions | Must match cash, vouchers, or till results. |
| Account status changes | Freezes, releases, legal debits, closures, and maintenance affect customer rights. |
| Authorized transactions | Need reviewer and authorization responsibility traceability. |
| Suspense items | Need follow-up and clearing traceability. |
| Exception processing | Original and correction results need focused review. |
Risk Controls
Reconcile allis risky; query conditions must be correct.- Reconciliation should record reviewer, time, and possibly authorization information.
- Large, reversal, suspense, and authorized transactions need extra attention.
- Unreconciled records before EOD may affect user balancing, institution sign-off, or operations review.
- If an already reconciled record is later found wrong, define whether unreconciliation or exception processing is allowed.
